Privacy Policy

Cameron's Events Entertainment provides children's entertainment, DJ services, celebration hire and online event planning tools. For the purposes of UK data protection law (the UK GDPR and the Data Protection Act 2018) we are the controller of the personal information described in this policy.

Enquiries and quotes

When you send an enquiry through the contact page, quote form, My Quote basket, Event Concierge or a planning tool, we receive your name, email address, phone number (if given), event details (date, location, venue, guest numbers, services) and any notes you write. Some forms let you add optional details such as a child's age, party theme or accessibility preferences.

Bookings, quotes and payments

For confirmed work we keep booking details, the quotes and invoices we send you, whether you accepted a quote, payments recorded against your booking, and our correspondence with you, including your email replies.

My Booking (Customer Hub)

If you use My Booking we use your email address to send secure sign-in links and record when access links are sent, used or revoked, and any change requests you submit. My Booking only shows you your own customer-safe booking and payment details.

Shop and AI Planning purchases

When you buy a digital download or an AI Planning tool we keep your email address, what you bought, the payment status from Stripe and, for AI Planning, the answers you give and the plan generated so you can return to it.

Support payments

If you support our growth we keep the amount, your email address, your name and any message you add. If you choose to appear on the Supporters Wall, only your name (or “Anonymous”) and the goal you supported are shown; messages are not published.

Reviews

If you leave a website review we keep your name, email address, rating and review text. Only your name, rating and text are ever shown, and only after we approve the review and you have agreed to it being displayed.

RSVP pages

If you publish an RSVP page from My Event, we store the event details and guest list you provide. Guests who reply give their name, attendance and any answers the organiser asks for (for example meal choices or dietary notes). The organiser can see these replies.

Games leaderboards

If you choose to submit a Where’s Cameron score, we store the nickname you enter, the recomputed score and timing for that completed run, and an anonymous browser player cookie so we can keep one best result per browser on each board. Nicknames are shown publicly on the leaderboards. We do not ask for an email address or account. Clearing cookies creates a new anonymous player identity.

Technical information

Like any website, our hosting provider processes technical information such as IP addresses to deliver pages and protect against abuse. We do not store IP addresses in our website statistics. Where we limit repeated requests for security, we keep only a one-way coded version of the connection details for a short time.

UK data protection law requires a lawful basis for each use of personal information:

• Steps before a contract and performing a contract — answering your enquiry, preparing quotes, delivering bookings, purchases and paid tool access.
• Legal obligation — keeping financial records required for tax and accounting.
• Legitimate interests — running and securing the website, preventing abuse, customer service, record keeping and understanding website use through privacy-friendly statistics, where these interests are not outweighed by your rights.
• Consent — where you make a genuine optional choice, such as ticking the optional updates box, agreeing to your review being displayed or allowing marketing cookies. You can withdraw consent at any time.

Online payments for the Shop, AI Planning tools and support payments are processed by Stripe on Stripe's secure checkout page. Your card details are entered directly with Stripe; Cameron's Events never sees or stores your full card number or security code. We receive confirmation of the payment, the amount and limited details such as your email address so we can fulfil your order.

Payments for event bookings are recorded against your booking using the payment details shown on your quote or invoice.

We send emails that are needed for the service you asked for, including:

• An acknowledgement when you send an enquiry or review
• Quotes, invoices, booking confirmations and booking correspondence
• Purchase confirmations and download or access links
• Secure My Booking sign-in links (these expire after 20 minutes and work once)
• Replies to messages you send us

Emails are sent through our email provider, and a copy of booking-related emails and your replies is kept with your booking record. Secure links are hidden in our stored copies.

We do not run an automated mailing list or newsletter. The quote form has an optional box, unticked by default, to say you would like occasional updates about our services. If you tick it, we note your preference with your enquiry. You can tell us at any time that you no longer want updates, and doing so does not affect any booking.

Our AI Planning tools, AI planning helpers and Event Concierge chat use OpenAI to generate suggestions. The details you enter in those tools are sent to OpenAI to produce a response. Please avoid entering information that is not needed for planning, such as health information or other people's contact details.

Suggestions from these tools are not quotes, availability checks or bookings. Venue search and travel estimates send the venue name or postcode you enter to Google to find the venue or estimate the journey.

We run our own website statistics using random identifiers kept in your browser. We do not use cookies or third-party analytics for this, we do not store IP addresses, and raw statistics are deleted after 90 days. You can switch statistics off on our Cookie Policy page, and we respect the Global Privacy Control browser signal.

The cookies we set are needed for signing in, purchased access and fair use of our AI tools. Meta's pixel is optional. Only if you allow marketing cookies does it tell Meta (Facebook and Instagram) which public pages you view. Where enabled in our advertising account, Meta may use this information to help us measure advertising performance and show more relevant advertising. Meta receives your IP address and browser details and uses them under its own privacy policy as a separate controller. It never runs without your consent, on private pages or when your browser sends a Global Privacy Control signal, and you can switch it off at any time. We do not send purchase events through the pixel; any purchase-conversion reporting to Meta comes from a separate Stripe integration. Full details are in our Cookie Policy.

We use the following providers to run the website and our services. They process personal information on our behalf and only for these purposes:

• Vercel — website hosting
• Neon — database hosting for enquiries, bookings, orders and statistics
• Stripe — online payments
• Resend — sending and receiving email
• OpenAI — AI planning suggestions and the Event Concierge
• Cloudflare (R2) — storage for website photos and media
• Google — displaying our Google reviews, venue search and travel estimates

We may also share information with accountants or professional advisers, insurers, venues or trusted subcontractors where needed to deliver an agreed booking, and public authorities where the law requires it. We do not sell personal information.

If you allow marketing cookies, Meta Platforms Ireland receives page-view information through its pixel as a separate controller, and may transfer it to the United States.

Some of our providers are based in, or use servers in, other countries including the United States. Where personal information is transferred outside the UK, it is protected by the safeguards those providers offer under UK data protection law, such as approved contract terms.

• Enquiries, quotes, bookings, invoices, payments and correspondence — kept as business records for as long as needed to manage the booking and to meet accounting, tax and legal obligations.
• Shop and AI Planning orders — kept as business records. Download links expire after 30 days and AI Planning access on a browser lasts 90 days.
• My Booking — sign-in links expire after 20 minutes, booking links after 30 days, and signed-in devices after 30 days.
• RSVP pages and replies — kept until the organiser removes the page or asks us to delete it.
• Website statistics — raw events deleted after 90 days.
• Security rate-limit records — coded records deleted after about two days.
• Games leaderboard scores — submitted nicknames and scores are kept for about 12 months for the public boards; abandoned run registrations expire sooner. Hidden or removed entries stay out of public boards.
• Browser storage — most is removed when you close the tab; see the Cookie Policy.

When information is deleted from our systems, copies may remain in our providers' short-term backups for a limited period until they are overwritten. They are not used in the meantime.

We protect information with measures such as encrypted connections, a private password-protected Admin area, secure one-time links that are stored only in coded form, limits on repeated requests, and restricting what each page and person can see. No online service can be guaranteed completely secure, but we work to keep risks low and to act quickly if something goes wrong.

Our services are often for children's parties, but bookings, enquiries and purchases must be made by a parent, guardian or other adult. The website is not designed for children to use on their own and we do not knowingly collect information directly from children.

Some forms let you share optional details about a child, such as age, interests or a first name for a personalised song or invitation. Please only share what is needed for the event.

Photos on the website are chosen and published by us; nothing you send us is published automatically. If you or your child appear in a photo on our website and you would like it removed, contact us and we will deal with your request promptly.

Website reviews and Google reviews are shown separately and labelled clearly. We never display a reviewer's email address.

Under UK data protection law you can ask us to:

• Give you a copy of the personal information we hold about you
• Correct information that is wrong or incomplete
• Delete your information, where we do not need to keep it
• Restrict or object to how we use your information in certain cases
• Provide your information in a portable format where this applies
• Stop using your information where we rely on your consent

Email cameronsevententertainment@gmail.com with your request. We may ask you to confirm your identity, we will normally respond within one month, and there is usually no fee. Some information, such as financial records, may need to be kept for legal reasons even if you ask us to delete it; if so, we will explain why.

If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO).
